1. Who we are
EJS Air Limited ("EJS Air", "we", "us", "our") is a private aviation brokerage and advisory business registered in England and Wales under company number 17466179, with its registered office at 71-75 Shelton Street, Covent Garden, London, United Kingdom, WC2H 9JQ.
EJS Air is the data controller for the personal information described in this policy. If you have any questions about this policy or how we handle your personal information, you can contact us using the details in Section 13.
EJS Air is registered with the Information Commissioner's Office (ICO) under registration number ZA163499.
2. Scope of this policy
This policy explains how we collect, use, share and protect personal information when you visit our website at www.ejs-air.com, make an enquiry with us, or become a client of EJS Air for private aircraft charter, aircraft advisory, pre-purchase inspection coordination, or Jet Card services. It applies to visitors, prospective clients and clients, and to anyone travelling as a passenger on a trip arranged through us.
This policy does not apply to the websites of third parties we may link to, including aircraft operators, maintenance providers or other partners, who have their own privacy policies.
3. Information we collect
3.1 Information you give us directly
When you make an enquiry or become a client, we may collect:
- your name, email address and phone number;
- the service you're interested in (charter, advisory, pre-purchase inspection, or Jet Card);
- details of your requirement, such as intended route, travel dates, passenger numbers, and any specific preferences; and
- any other information you choose to share with us when communicating by email, phone, or through our enquiry form.
3.2 Information collected if your enquiry becomes a booking or engagement
If you proceed with a charter, advisory engagement, inspection coordination, or Jet Card programme, we, or the operators and specialists we introduce you to, may need to collect further information, which can include:
- passenger names, dates of birth, and contact details for everyone travelling;
- passport or other travel document details, where required for the flight, destination, or by the operator or relevant aviation/border authorities;
- billing and payment details, processed on our behalf or directly by the relevant operator or payment provider; and
- any dietary, accessibility or other requirements relevant to the trip, which you choose to share with us.
We only collect what's needed for the specific trip, booking or engagement, and we don't ask for more sensitive information than is required for the service to go ahead safely and lawfully.
3.3 Information we collect automatically
When you visit our website, we (and our service providers) may automatically collect:
- your IP address, browser type and device information;
- pages visited, time spent on the site, and how you arrived at our site; and
- information collected through cookies and similar technologies (see Section 9 below).
3.4 Information from other sources
We may also receive information about you from aircraft operators, payment processors, or publicly available sources, for example to verify details, prevent fraud, or carry out standard due diligence in connection with a booking or acquisition.
4. How we use your information
We use personal information for the following purposes:
- To respond to enquiries and provide quotations or advice (lawful basis: steps taken at your request prior to entering a contract, or performance of a contract).
- To arrange and coordinate charter flights, advisory engagements, pre-purchase inspections, and Jet Card programmes, including sharing necessary details with aircraft operators and technical specialists (lawful basis: performance of a contract).
- To communicate with you about your enquiry, booking, or ongoing engagement (lawful basis: performance of a contract, or our legitimate interest in providing good client service).
- To comply with legal, regulatory, aviation security, or customs/border requirements (lawful basis: legal obligation).
- To improve our website and understand how it's used (lawful basis: legitimate interests, or consent where cookies require it — see Section 9).
- To send you information about our services, where you've agreed to receive it (lawful basis: consent). You can withdraw this consent at any time.
- To prevent fraud and protect the security of our business and clients (lawful basis: legitimate interests, or legal obligation).
5. Who we share your information with
Because EJS Air works as a broker and advisor, delivering most services means sharing relevant information with other parties. We share personal information, where necessary, with:
- aircraft operators, for the purpose of arranging and operating your flight;
- maintenance and technical specialists, in connection with pre-purchase inspection coordination;
- payment processors and financial institutions, to process payments;
- IT, hosting, and website service providers, who support our systems on our behalf;
- professional advisers, such as our accountants, insurers or legal advisers, where necessary;
- aviation, customs, border, or other regulatory authorities, where required by law; and
- a buyer or successor, if we were to sell or transfer all or part of our business, subject to the same protections described in this policy.
We don't sell your personal information to third parties.
6. International transfers
Because EJS Air's charter and Jet Card services can involve travel to and from destinations outside the UK — including Europe, the United States, and the Middle East — your personal information may be transferred to, and processed in, countries outside the UK, including countries that do not have the same data protection laws as the UK.
Where this happens, we take steps to make sure your information is protected to a standard consistent with UK data protection law, including, where appropriate, by using contractual safeguards such as the UK's International Data Transfer Agreement or Addendum, or by relying on the destination country holding an adequacy decision.
7. How long we keep your information
We keep personal information for as long as necessary to fulfil the purposes described in this policy, including to provide our services, comply with legal and regulatory obligations (including aviation, tax and accounting record-keeping requirements), resolve disputes, and enforce our agreements. Retention periods vary depending on the type of information and the reason it was collected; where you'd like more detail on how long we keep a particular type of information, please contact us using the details in Section 13.
8. Security
We use appropriate technical and organisational measures to protect personal information against unauthorised access, loss, misuse or disclosure. No method of transmission or storage is completely secure, but we work to protect your information and review our practices regularly.
9. Cookies
Our website uses cookies and similar technologies to help it function properly, understand how visitors use the site, and improve your experience. These may include:
- essential cookies, needed for the website to work correctly;
- analytics cookies, which help us understand how visitors use our site (Google Analytics 4).
You can control or disable cookies through your browser settings, and where required by law, we will ask for your consent before setting non-essential cookies, through a cookie banner on our website.
10. Your rights
Under UK data protection law, you have the right to:
- access the personal information we hold about you;
- ask us to correct inaccurate information;
- ask us to delete your information, in certain circumstances;
- ask us to restrict how we use your information, in certain circumstances;
- object to our use of your information, in certain circumstances, including for direct marketing;
- ask us to provide your information in a portable format, in certain circumstances; and
- withdraw consent, where we rely on consent to use your information.
To exercise any of these rights, please contact us using the details in Section 13. If you're not satisfied with how we've handled your information, you also have the right to complain to the Information Commissioner's Office (ICO), the UK's data protection regulator, at ico.org.uk.
11. Children's information
Our services are intended for adults. Where personal information about a child is provided to us — for example, as a passenger on a family trip arranged by a parent or guardian — we only use it for the purposes of arranging and delivering that trip, and treat it with the same care as all other personal information we hold.
12. Changes to this policy
We may update this policy from time to time, for example to reflect changes in our services or in data protection law. We'll post any updated version on this page with a new "last updated" date.
